Why are my custom rules not working?

Most rule issues come down to exact matching – here's what Fyxer looks at and what to check.

If your custom rules aren’t applying as expected, it’s usually down to how the rule is set up. Fyxer uses specific logic when deciding which emails to categorize, and doesn’t match partial text or recipient information.


What Fyxer looks at

  • Sender email address
    Exact match only – if the email comes from this address, the rule applies

  • Sender domain
    For example, @bmw.com will apply to all senders from that domain

  • Full subject line match
    The subject line must match exactly, including punctuation and spacing​

Note: Fyxer does not support rules based on who the email was sent to.

Common reasons custom rules fail

  • A typo in the email address, domain, or subject line

  • Using partial matches (e.g., “weekly report”) instead of full subject lines

  • Trying to create recipient-based rules (e.g., emails to you, not from someone else)

  • Formatting or conflict with non-Fyxer inbox rules


Quick fix checklist:

  • Go to Dashboard Categorization → Advanced → Custom rules and double-check your rule setup

  • Make sure the rule exactly matches the sender’s address, domain, or subject line

  • If using non-Fyxer inbox rules, temporarily turn them off and re-test

  • Delete and re-add your Fyxer rule to rule out typos. Make sure you save by selecting Update preferences

  • Log out and back into your inbox to refresh the changes
