How do I stop Notetaker from joining meetings automatically?

How to stop Notetaker from joining meetings automatically, disable it for specific calls, adjust auto-join settings, and prevent unexpected joins.

If Notetaker is joining meetings you'd rather it didn't, here's how to control when it shows up.


Turn off automatic joining

If you don't want Notetaker to join any meetings unless you invite it manually:

  1. Go to your Dashboard → Notetaker → Notetaker settings (gear icon top right)

  2. Under Automatically join, choose None

  3. Select Update preferences

This will stop Notetaker from joining any meetings automatically, but you can still invite it manually when needed.


Limit which meetings it's allowed to join

You can also adjust your auto-join preferences if you don't want Notetaker joining internal meetings or meetings you're not hosting.

  1. Go to your Dashboard → Notetaker → Notetaker settings

  2. Choose either:

    1. Meetings I'm hosting – joins only when you are the organizer

    2. External meetings only – joins only when someone outside your company is on the invite

  3. Select Update preferences


Stop Notetaker from joining a specific meeting

If Notetaker is set to auto-join, but there's a meeting coming up that you don't want recorded, you can remove it from that specific meeting.

  1. Go to Dashboard → Notetaker → Upcoming

  2. Select the meeting

  3. Toggle the Notetaker button to Off


Stop a recurring meeting from automatically triggering Notetaker

Recurring meetings often keep old rules. To prevent Notetaker from joining a recurring call:

  1. Open the meeting series in Dashboard → Notetaker → Upcoming

  2. Toggle the Notetaker button to Off

  3. Save changes for All meetings in the series

If a meeting series was created before new Notetaker controls existed, recreating the recurring meeting in your calendar ensures all new features are available.


What to check if Notetaker still joins unexpectedly

If Notetaker joins when you thought you disabled it, check the following:

  • Auto-join setting may still be on
    If you turned it off for one meeting, global auto-join may still be enabled

  • You're listed as an attendee on the event
    Notetaker joins events you are invited to, not only ones you accepted

  • Meeting includes an external participant
    If your auto-join settings are to join all external meetings, Notetaker will join as soon as any external email is on the invite

  • Multiple Fyxer users may be present
    If another Fyxer user has Notetaker enabled, your Dashboards may both show the recording. (Only one Notetaker will appear in the meeting)

  • Platform behavior
    Zoom/Teams/Meet may auto-admit the bot before you see the connection. If you don't want it in the meeting, remove it once admitted

  • A second calendar may be connected
    If you recently connected a second calendar or reconnected your primary calendar, events may need updating. Disconnecting and reconnecting can reapply default behavior


What to do if Notetaker joins and you need it to leave immediately

During a live meeting, type @fyxer stop in the chat box. This instantly:

  • Stops recording

  • Ends transcription

  • Removes Notetaker from the meeting

If you just want to pause recording, follow the same steps but type @fyxer pause, followed by @fyxer resume when you're ready to start recording again. Any participant can use this command, not only the host.
