How to set up your meeting Notetaker
Configure how your Notetaker behaves: set auto-join preferences, transcript language, custom words, and sharing settings.
You can control how the Fyxer Notetaker behaves, including when it joins meetings, how transcripts are generated, and how pre-reads work.
This guide walks you through each setting and what it does.
Open your Notetaker settings
Go to Dashboard → Notetaker settings (gear icon in the top right). A settings panel will open with two tabs: General and Pre-reads.
General settings explained
Choose when Notetaker joins meetings
Under Automatically join, choose how Fyxer should behave:
All meetings
Fyxer joins every meeting that includes a supported meeting linkExternal meetings only
Fyxer joins meetings that include at least one external attendeeMeetings I'm hosting
Fyxer joins only meetings where you are the organizerNone
Fyxer never joins automatically, but you can still start it manually
This controls automatic joining only – you can still manually add Notetaker on a per-meeting basis using the Joining toggle under the Upcoming tab.

Set your transcript language
Under Transcript language, "Automatic language detection" will be selected. This is the recommended setting for accuracy, but you can select a specific language here if you prefer.
Add custom words
Use Custom words to improve transcription for names, acronyms, or industry terms. For example:
Company names
Product names
Technical terms
Acronyms
Words added are used across all future recordings.
Choose who receives meeting recaps
Under Send meeting recap to, select who should automatically receive meeting summaries and recordings by email:
Everyone on the calendar invite
All attendees receive the recap emailInternal attendees only
Only people with your organization’s email domain receive itMyself only (default)
Only you receive the recapNo one
Recaps are not sent by email
This controls automatic emails only – recordings can still be shared manually using the Share button top right of the recorded meeting view.
Automatically share recordings
Use Automatically share recordings to give specific people ongoing access to your meeting recordings.
How it works:
Add one or more email addresses
Those people are automatically invited to all your meeting recordings
No need to manually share each time
This is useful for:
Managers
Assistants
Teammates who need visibility into your calls
Follow-up drafts
Use this setting if you want Fyxer to automatically draft a follow-up email after each meeting.
Send failure emails
Turn on Send failure emails if you want to be notified when Notetaker couldn’t join a meeting.
Save your changes
Make sure you select Update preferences to save any changes you make to settings.
Good to know
Settings apply going forward - past meetings are unchanged
You can update your preferences anytime
Nothing is shared automatically unless you enable it
