Why can’t I attach files in a Teams meeting chat with Notetaker?

Why you can’t attach files in Teams meetings with Notetaker, and how to fix it.

When Notetaker is in a Microsoft Teams meeting, you may not be able to attach files or add screenshots in the meeting chat.

What you'll see

The paperclip (Attach) icon will be missing and drag-and-drop won't work. If the Notetaker leaves, attaching works again.

Why it happens

  • Notetaker joins from outside your organisation, so Teams treats it as an external participant

  • Teams blocks attachments in chats with external participants by default. A setting called FileSharingInChatsWithExternalUsers controls this. While it's off, Teams hides the Attach icon in any chat that has an external person in it

  • Any outside guest has the same effect. You'd see the same thing if a client or supplier joined the call

How to fix it

Your Teams admin can turn the FileSharingInChatsWithExternalUsers setting on by following Microsoft's guide to sharing files in external chats.

Changing this setting:

  • Only brings back the Attach icon. Permissions to open a file are still set by your SharePoint and OneDrive sharing settings

  • Applies to chats with any external person, not just Notetaker. Check it fits your security policy first

  • May take up to 48 hours to take effect

Check it's working

Once you're admin has made the change:

  1. Start a Teams meeting and let Notetaker join

  2. Open the meeting chat

  3. Look for the paperclip (Attach) icon and attach a small test file

Still missing after 48 hours? Contact Support from the chat in the bottom right of your Dashboard, and include the meeting link.

Frequently asked questions

I'm not an admin. Can I share a file right now?

Yes. Paste a link to the file into the chat instead of attaching it. Links still work, as long as your SharePoint or OneDrive settings let external participants open them.

Will removing Notetaker fix it?

Yes, for that meeting. But you'll lose the recording and notes for the rest of the call.

Can Fyxer make Notetaker count as an internal participant?

Not today. Notetaker joins from Fyxer's own account, so Teams sees it as external.

Why does Notetaker show as "Unverified"?

That's a separate Teams setting. It doesn't affect file sharing. Contact Support if your team wants to change this.
