Inbox best practices: get the most out of Fyxer's categorization

Updated this week

Fyxer AI keeps your inbox clean by sorting emails into 8 smart categories. But to get the most value, it helps to set things up in a way that matches your workflow.

Here are a few best practices to save time and make sure nothing slips through the cracks.

1. Decide What Belongs in Your Inbox

Go to your Categorization Settings in the Fyxer AI Dashboard.

  • Checked box = emails skip the inbox and go straight into a folder/label.

  • Unchecked box = emails stay in the inbox with a label applied.

💡 Tip: Keep only “To Respond” and maybe “FYI” in your inbox. Everything else (like "Meeting Updates" and "Marketing") can go into folders/labels to reduce noise.

2. Use “To Respond” for VIPs

If there are people you never want to miss, create an email rule to automatically label their emails as To Respond.

This makes sure Fyxer drafts replies every time, no matter the context.

3. Check “Awaiting Reply” at the End of Each Day

This is your safety net. If follow-ups are turned on, Fyxer will have drafts waiting for you to send. It’s the fastest way to clear lingering threads before you log off.

4. Train Fyxer with Your Actions

  • Edit drafts instead of deleting them completely.

This action will help the AI learn your tone and your priorities.

5. Keep Rules Simple

When setting up email rules, stick to the basics:

  • Important senders (client emails, manager)

  • Common domains (newsletters, tools like @slack.com)

  • Obvious subjects (“Weekly Report”)

This keeps your inbox tidy without overcomplicating things.

Summary

Start small: decide what really belongs in your inbox, set up a couple of rules for VIPs and low-value senders, and make “Awaiting Reply” your daily checkpoint. With these tweaks, you’ll save hours each week and keep full control of what you see.
