Understand how Fyxer sorts your inbox, and how to make it work for you.
Fyxer automatically sorts every new email into smart categories, ranked by priority. The goal is simple: reduce inbox overwhelm and surface what actually needs your attention.

You might notice differences between what's shown here and what you see in your inbox. We regularly test and refine how Fyxer works, so experiences can vary. Either way, you've got the right setup, and we'll keep this updated as things evolve.
Choose which categories appear in your inbox
You decide which email categories show in your inbox and which get filed away.
Most users keep the following two categories visible because they represent the messages that matter most day-to-day:
To do/To respond
Emails that need your reply, plus urgent emails that don't need your reply, but may require another action.
Fyxer will automatically create a draft for any email here that needs a response.
FYI
Important updates you should read, but don't need to respond to.
Keeping just these two visible makes it easy to see what needs action and what you should simply be aware of.
How to set this up
To replicate this setup, go to Dashboard → Categorization and select the Focused view.
If you make any changes, remember to select Update preferences.
Everything else gets organized behind the scenes
Fyxer keeps your inbox focused by organizing lower-priority emails automatically, without hiding anything from you.
In Dashboard → Categorization, you'll see different options for how emails are handled:
Standard
Everything gets a label, and most stay in your inbox.
Focused
A short to-do inbox with just To respond/To do and FYI emails.
Show everything
Every label stays in your inbox, nothing is filed away.
Custom
Set each label yourself, one at a time.
Each option lets you decide whether the emails for that category either:
Stay in your inbox, or
Leave your inbox, and are archived under their label
Archived emails
Archived emails are still accessible – they're just kept out of your primary view.
This is useful for noisier categories like marketing and notifications.
Can I rename or create categories?
No, and this is intentional. Fyxer's categories are fixed, which means:
You can't rename them
You can't add or remove categories
You can't create custom categories
Why this matters:
Keeps behavior consistent across Gmail, Outlook, and the Fyxer Dashboard
Allows drafts, follow-ups, search, and summaries to work reliably
Prevents "Where did my email go?" confusion
You can:
Turn individual categories on or off
Turn categorization off entirely, if you want
The categories and what they mean
Here are some of the Fyxer email categories and what they mean.
To do/To respond (most important)
Emails that need your reply, along with urgent emails that don't. Fyxer automatically drafts a reply here for any that need a response.
Examples: "Can you confirm?", "Please review and let me know".
FYI
Informational emails you should be aware of but don't need to reply to.
Examples: "Sharing this for context", "Agenda for tomorrow".
To follow up/Awaiting reply
You've replied and you're waiting on someone else. This is a tracking state for conversations you've already handled – no new emails land here automatically.
Examples: "Let me know when you've reviewed", "Just following up on my email...".
A sent email you're waiting to hear back on does not move to Awaiting reply or To follow up immediately. It stays in Sent until your configured follow-up wait has passed. Learn more: Track email follow-ups.
Notification
Automated tool notifications, including meeting updates.
Examples: password resets, calendar invites.
Marketing
Sales and marketing emails.
Examples: newsletters, sales outreach.
Topics-based labels
Within the above categories, Fyxer can further categorize emails from automated systems with a second topic-based label, such as newsletters, promotions, comments, or orders.
You can toggle these on or off under Dashboard → Categorization → Advanced → Topic-based labels.
Gmail vs Outlook: why they look different
Gmail:
Labels act like folders
Emails can appear in both the inbox and in their folder
Outlook:
Categories and folders are separate
Emails may show both a folder and a colored category
Emails can only appear in one place, so folders may appear empty if that category of email is set to stay in your inbox
Both behaviors are correct – they're just different systems.
When categories change automatically
Fyxer updates categories as context changes:
You reply → To do or To respond becomes To follow up or Awaiting reply
This is how your inbox stays current without manual sorting.
A sent email you're waiting to hear back on does not move to Awaiting reply or To follow up immediately. It stays in Sent until your configured follow-up wait has passed.
You can control when emails awaiting a response show up here. Go to Dashboard → Drafts → General → Follow-ups and set the number of days before following up.
Auto-archiving
Fyxer can automatically archive threads after you reply, so only emails that still need your attention stay in your inbox.
If someone replies back, the thread will reappear as normal. Your sent emails always remain in your Sent folder.
You can turn this setting on or off by going to Dashboard → Categorization → Customize and selecting the Archive threads after I reply toggle.
If something feels off
Quick checks:
Review your toggles
Make sure email integration is connected
Ensure conversation view is enabled
Remember: changes apply going forward
Still unsure? Nothing is ever lost – search will always find it.
Tips for a calm inbox
Start with the recommended setup
Adjust toggles weekly until it feels right
Trust that "out of inbox" ≠ "gone"
