How does Fyxer AI integrate with HubSpot?

Updated over a month ago

Fyxer AI integrates with HubSpot to automatically log your meeting summaries, follow-ups, and key decisions as Notes in the relevant contact, deal, or company record.

What It Does

Once your organization’s HubSpot account is connected to Fyxer by an admin, Fyxer will:

  • Automatically generate a meeting note after each call

  • Push that note to HubSpot as a “Note” activity

  • Match and attach it to:

    • A contact (if the email address exists in HubSpot)

    • A company (if the domain or name exists in HubSpot)

💡 Note: If no matching contact or company is found, the note will not be created in HubSpot.

Setup Requirements

  • Available for Pro and Enterprise users only

  • Must be connected by an admin in both Fyxer and HubSpot

  • The connection applies to the entire organization once enabled

  • Fyxer will check for matching contacts and companies at the time of the meeting only

Notes will not be backfilled if you create contacts or companies in HubSpot after the meeting has taken place.

How Notes Are Matched

Fyxer checks for:

  • The company domain name or company name (e.g. company.com)

  • The contact's email address or name in HubSpot

If a match is found, the note will be attached automatically to the corresponding records.

Why You Might Not See Notes in HubSpot

If your notes aren’t appearing, check the following:

  1. The meeting was recorded and summarized in Fyxer

  2. HubSpot was connected by your organization admin in both systems

  3. The contact and company exist in HubSpot before the meeting

  4. You’re using a Pro or Enterprise Fyxer account

How to Connect Your HubSpot Account

  1. Log in to your Fyxer AI Dashboard

  2. Go to Settings > Integrations

  3. Scroll to CRM, then click “Connect”

  4. Select HubSpot and follow the prompts

  5. Once connected, meeting notes and follow-ups will start syncing automatically

Known Limitations

  • Fyxer won’t create new contacts or companies in HubSpot

  • We currently do not support pushing historical meetings or retroactive syncing

  • We're not yet a verified app on HubSpot’s Marketplace (which may prompt a warning during setup in certain networks)
