Managing folders, labels and rules in Fyxer

Fyxer AI is designed to work alongside your existing Gmail or Outlook setup without interfering with the folders, labels, or rules you already rely on.

When you sign up, it scans and categorizes the most recent 300 emails in your inbox and sent items to start learning your patterns.


Respecting User-Applied Labels

By default, Fyxer respects the labels or rules you’ve already set up. This means:

  • ON (default): Fyxer skips emails that already have a Gmail/Outlook label or rule applied.

  • OFF (optional): Fyxer categorizes everything, even if another rule or label has already been applied.

You can adjust this in Categorization Settings under Respect user-applied labels, depending on whether you want Fyxer to step back or take full control.


Creating Email Rules in Fyxer

For extra control, you can create rules directly in Fyxer to decide how certain emails should be categorized.

How to set one up:

  1. Go to your Fyxer AI Dashboard → Categorization Settings → Email rules.

  2. Click “Add email or subject.”

  3. Choose one of the following:

    • Sender email (e.g. [email protected])

    • Domain (e.g. *@newsletter.com)

    • Exact subject match (e.g. “Weekly Report”)

  4. Pick the Fyxer category you want (e.g. send newsletters to FYI instead of Marketing).

Once saved, Fyxer automatically applies that rule to new emails - keeping your inbox organized with less effort.

Note: Subject line rules must match the entire subject exactly - partial or keyword-based matches won’t work.


Best Practices for Folders, Labels & Rules

To get the most out of Fyxer while keeping your inbox efficient:

  1. Start small: Create one or two Fyxer rules for your biggest inbox distractions (e.g. newsletters, system alerts). You’ll see the benefit right away.

  2. Use email rules: If there are senders you never want to miss, create a rule that always puts them in To Respond. This keeps critical emails front and center.

  3. Avoid duplicates: Don’t create overlapping rules in Gmail/Outlook and Fyxer - keep each platform’s rules focused on different tasks.

  4. Review regularly: Check your rules once a month to make sure they still fit your workflow. Outdated rules can cause clutter instead of clarity.

  5. Leverage “Respect labels”: If you’ve already built a reliable filter system in Gmail/Outlook, keep Respect labels ON so Fyxer complements rather than duplicates your work.
