Why didn’t the Notetaker join my meeting?

If the Fyxer Notetaker didn't join your meeting, it's usually due to a setting, a calendar issue, or a meeting detail that prevented it from entering. Use this guide to quickly identify what went wrong and how to fix it.



Quick Checks

Start with the two most common causes:

Auto-join setting:

  1. Go to Dashboard → Meetings → Settings

  2. Under Automatically join, confirm it is set to:

    • All meetings, External meetings, or Meetings I'm hosting

If it's set to None, the Notetaker will not join any meetings.

Calendar integration:

  1. Go to Settings → Integrations → under Calendar

  • Make sure your calendar is still connected

  • Reconnect if you recently changed your password or permissions

  • After reconnecting, future events may need to be re-saved so the Notetaker is added correctly



Common Reasons the Notetaker Did Not Join

Check each of these:

1. Not enabled for this meeting:

  • The event toggle may be OFF under Meetings → Upcoming

  • Or the Notetaker is globally set to Off

2. No valid meeting link:

The calendar event must contain a supported link:

  • Zoom

  • Microsoft Teams

  • Google Meet

If no link is detected, the Notetaker cannot join.

3. You were not invited:

The Notetaker only joins meetings you are invited to. Forwarded links or ad-hoc joins do not count unless you manually invite the Notetaker.

4. Host did not admit it:

On Zoom and Teams, the host must admit the Notetaker from the lobby/waiting room. If not admitted, it cannot join.

5. Meeting ended too quickly:

Extremely short meetings (e.g., under ~10 minutes) may not generate recordings or summaries.

6. Meeting changed after calendar reconnect:

If your calendar was disconnected and later reconnected, existing events may not update automatically. Edit and re-save those events so the Notetaker is reattached.

7. Platform or IT restrictions:

Some organizers or IT admins block:

  • External guests

  • Bots

  • Anonymous participants

This can prevent the Notetaker from entering the meeting entirely.

8. Not admitted in time:

If the Notetaker sits in the lobby too long (Teams/Zoom security), it times out and leaves.


Check the Meeting Status in Your Dashboard

  1. Go to Meetings → Upcoming

  2. Find the meeting

  3. Hover over the toggle to view the status

You'll see messages like:

  • "No meeting link" → Add a Zoom/Teams/Meet link

  • "Meeting link not accepted" → Re-save or resend the invite

  • "Notetaker off" → It was manually disabled

  • Camera icon (ON) → Scheduled to join

This is the fastest way to understand what happened.



Fix Calendar Issues

If you suspect a sync problem:

  • Go to Settings → Integrations → Calendar

  • Reconnect your calendar if needed

  • Re-save or recreate future events so the Notetaker is correctly added

  • Confirm the connected calendar is the same one used for the meeting invite

Calendar issues are one of the most common causes of join failures.



If You Prevented It on Purpose

If the Notetaker didn't join and that was intentional, here are the correct controls:

  • Per meeting: Go to Meetings → Upcoming → Toggle OFF

  • During the call: Decline admission in the waiting room/lobby

  • Globally: Set Automatically join = None

These settings fully prevent the Notetaker from joining.
