Why didn’t the Notetaker join my meeting?

The Fyxer AI Notetaker is built to automatically join your video calls, capture key points, and generate summaries. If it didn’t join (or joined late), it usually comes down to a setting or meeting detail.



Quick Check

  1. Log into your Fyxer AI Dashboard

  2. Go to Meetings → Settings

  3. Confirm the Notetaker is set to join:

    • All meetings, or

    • Meetings you’re hosting

💡 If it’s set to None, Fyxer won’t join any calls.



Common Reasons the Notetaker Missed

  • Not enabled → Double-check your settings above

  • Host didn’t admit it → If you’re not the host, they must allow the bot in from the waiting room

  • Invite not accepted → The bot needs a valid invite to join

  • No meeting link → The event must include Zoom, Teams, or Google Meet details

  • Meeting too short → Calls under 10 minutes aren’t recorded

  • Permission blocked → Check with IT if external guests/bots are restricted

  • Not admitted in time → If it’s stuck in the lobby, it won’t capture notes



Use Your Dashboard to See What Happened

  1. Go to Dashboard → Meetings → Upcoming

  2. Check the status next to the meeting:

  • “Meeting link not accepted” → Invite wasn’t confirmed

  • “No meeting link” → Update the event with a valid video link

  • Toggled OFF → The Notetaker was manually disabled for that call

💡 A small camera icon (ON) means Fyxer is scheduled to join.



Controlling Participation

  • Case by case → Toggle the Notetaker on/off per meeting in your Dashboard

  • In the call → Simply don’t admit it if you don’t want notes taken

  • Globally → Switch to None in Meetings Settings
