Book your first meeting with Fyxer's Notetaker

Here's what to expect when you use Notetaker for the first time.

Email and calendar are connected separately. If you haven't connected your calendar yet, do that first: Set up Fyxer in 2 minutes.

The fastest way to experience Notetaker is a quick test meeting. When your calendar is connected, Fyxer joins supported online meetings automatically – this article walks you through setting that up on day one.

Don't have many inbound meetings? Option 1 below shows you how to use your own scheduling link to get started.


Before you start: quick setup checks

Is your calendar connected?

Go to Dashboard Settings → Integrations → Calendar.

Your Google or Outlook calendar must be connected for automatic joining.

Zoom users: is Zoom connected?

If your meetings are on Zoom, go to Settings → Integrations and Connect Zoom. Teams and Google Meet require no extra setup.

Is Notetaker set to join automatically?

Go to Notetaker → click the gear icon for Notetaker settings → Automatically join and choose:

  • All meetings (recommended for your first test) or

  • Meetings I'm hosting

If this is set to None, the Notetaker will not join.


How to trigger your first Notetaker meeting

You have three easy options:

Option 1 (recommended): use your scheduling link

Go to your Dashboard → Scheduling Scheduling links → Personal

  1. Choose a meeting length (e.g. 30, 45, or 60 minutes)

  2. Click Copy link

  3. Send the link to a colleague

  4. They book the meeting using the link

  5. The meeting is automatically added to your calendar

  6. Once the meeting starts, Notetaker automatically joins and records it

If you prefer, you can book the meeting using the link yourself and join it as a test.

Option 2: wait for someone to send you a meeting invite

As soon as someone sends you a calendar invite with a Zoom, Meet or Teams link, and your Notetaker is set to auto-join:

  • Notetaker is added as an invited participant

  • It will attempt to join automatically at the meeting start time

  • On Zoom, the host may need to admit it

This lets you test with a "real" meeting.

Option 3: forward to schedule

If you want to set up a meeting from any email you've received, forward it to [email protected] with "schedule" in the body.

Fyxer will generate a draft reply with your availability and bookable links.


What to expect during the meeting

Notetaker will:

  • Join a few minutes before the scheduled start

  • Appear as a guest participant

  • Record and transcribe the conversation

  • Identify action items

  • Prepare your meeting summary

  • Leave automatically when the session ends

If you need to stop recording mid-meeting, anyone can type: @fyxer stop in the meeting chat.


After the meeting

Within a few minutes, you'll receive:

  • A meeting summary email (labeled "FYI")

  • The transcript in Notetaker → Recorded

  • The audio/video recording (if supported)

  • A suggested follow-up email draft based on the discussion

This gives you your first full view of how Fyxer handles meeting intelligence.


If Notetaker didn't join

Common issues include:

  • Missing video link

  • Notetaker set to "None"

  • Calendar not connected

  • Zoom integration not connected

  • Host didn't admit the bot

If meeting invites are created through a third-party tool, such as GoHighLevel, your email address may not appear on the invite. That means the event won't show on your connected calendar and Notetaker won't join. Check that your calendar is synced and that you're listed as an attendee on the invite.
