If the Fyxer Notetaker is joining meetings you don't want it to, you can control exactly when it participates.
Turn Off Automatic Joining
If you don't want the Notetaker to join any meetings unless you invite it manually:
Go to your Dashboard
Select Meetings → Settings
Under Automatically join, choose: None - The Notetaker will never join automatically
You can still invite it manually when needed.
Limit Which Meetings It's Allowed to Join
If you don't want the Notetaker joining internal, personal, or sensitive meetings, adjust auto-join preferences:
Choose one:
Meetings I'm hosting - joins only when you are the organizer
External meetings only - joins only when someone outside your company is on the invite
These settings help prevent unwanted joins while still supporting client calls.
Stop the Notetaker From Joining a Specific Meeting
If there's a meeting you know you don't want recorded:
Stop it from the Dashboard
Go to Meetings → Upcoming
Select the meeting
Toggle Notetaker: Off
Stop a Recurring Meeting From Automatically Triggering the Notetaker
Recurring meetings often keep old rules.
To prevent the Notetaker from joining a recurring call:
Open the meeting series in Meetings → Upcoming
Remove or toggle off the Notetaker
Save changes for all meetings in the series
If the series was created before new Notetaker controls existed, recreating the recurring meeting in your calendar ensures all current settings apply.
What to Check If the Notetaker Still Joins Unexpectedly
If the Notetaker joins after you thought you disabled it, check the following:
Auto-join setting may still be on:
Even if you turned it off for one meeting, global auto-join may still be enabled.
A second calendar may be connected:
If you recently reconnected your calendar, events may need updating. Disconnecting and reconnecting can reapply default behavior.
You're listed as an attendee on the event:
The Notetaker joins events you are invited to, not only ones you accepted.
Meeting includes an external participant:
If your setting is External meetings, the Notetaker will join as soon as any external email is on the invite.
Multiple Fyxer users may be present:
If another Fyxer user has the Notetaker enabled, your dashboards may both show the recording. (Only one Notetaker will appear in the meeting)
Platform behavior:
Zoom/Teams/Meet may auto-admit the bot before you see the connection. If you don't want it in the meeting, remove it once admitted.
What to Do if It Joins and You Need It to Leave Immediately
During a live meeting, use the chat command: @fyxer stop
This instantly:
Stops recording
Ends transcription
Removes the Notetaker from the meeting
Any participant can use this command (not only the host).
