How to set up your Meeting Notetaker

Use Meeting Settings to control how and when Fyxer joins your meetings, how transcripts are created, and who receives recordings and summaries.


Open Your Meeting Settings

  1. Go to your Fyxer Dashboard

  2. Click Meetings in the left menu

  3. Click Settings

You'll see two tabs:

  • General – joining, recording, sharing preferences

  • Pre-reads – pre-meeting summaries and context



Choose When the Notetaker Joins

  1. In Meeting Settings → find Automatically join

  2. Select one of the options:

    • All meetings – Fyxer joins every meeting with a valid link

    • External meetings – Fyxer joins only meetings with external attendees

    • Meetings I host – Fyxer joins only meetings where you are the organizer

    • Off – Fyxer does not join automatically (you can still invite it manually)

This determines which calendar events the Notetaker enters.


Set Transcript Language

Choose the language you want Fyxer to use for transcripts.


Add Custom Words (Optional)

  1. In Meeting Settings → find Custom words

  2. In the input field, type a word or phrase (e.g., Project X, company name, acronym)

  3. Repeat for any other terms you want Fyxer to recognize

  4. To edit or remove a term, use the options beside it

Custom words improve transcription accuracy for terms unique to your team.


Automatically Share Recordings

  1. In Meeting Settings → find Automatically share recordings

  2. Click Add email

  3. Enter the email of someone who should receive your recordings and summaries

  4. Save

Recipients will automatically be invited to view your recorded meetings.


Choose Who Receives Meeting Recaps

  1. In Meeting Settings → find Send meeting recap to

  2. Select one of the options below

  3. Save your changes

This controls who receives summaries by email.


Turn On Failure Notifications (Optional)

  1. In Meeting Settings → find Failure notifications

  2. Toggle Send failure emails if we couldn't join the meeting

  3. Save your change

You’ll receive an email if the Notetaker is unable to attend.
