How to set up your Meeting Notetaker

Configure how your Notetaker behaves: set auto-join preferences, transcript language, custom words, and sharing settings.

You can control how the Fyxer Notetaker behaves from Notetaker Settings - including when it joins meetings, how transcripts are generated, and how Pre-reads work.

This guide walks you through each setting and what it does.


Open Your Notetaker Settings

Go to your Dashboard Notetaker Settings (gear icon in top-right)

A settings panel will open with two tabs:

  • General

  • Pre-reads


General Settings Explained

Choose When the Notetaker Joins Meetings

Under Automatically join, choose how Fyxer should behave:

  • All meetings - Fyxer joins every meeting that includes a supported meeting link

  • External meetings only - Fyxer joins meetings that include at least one external attendee

  • Meetings I'm hosting - Fyxer joins only meetings where you are the organizer

  • None - Fyxer never joins automatically (you can still start it manually)

Set Your Transcript Language

Under Transcript language, choose how Fyxer should handle transcription:

  • Automatic language detection (recommended) - Fyxer detects the spoken language automatically

  • Or select a specific language if your meetings are always in the same one

This helps improve transcription accuracy and summary quality.

Add Custom Words (Optional)

Use Custom words to improve transcription for names, acronyms, or industry terms.

Examples:

  • Company names

  • Product names

  • Technical terms

  • Acronyms

How to add a word:

  1. Type the word into the field

  2. Press enter

  3. Remove words anytime by clicking the ✕ next to them

These words are used across all future recordings.

Choose who receives meeting recaps

Under Send meeting recap to, select who should automatically receive meeting summaries and recordings by email:

  • Everyone on the calendar invite
    All attendees receive the recap email.

  • Internal attendees only
    Only people with your organization’s email domain receive it.

  • Myself only (default)
    Only you receive the recap.

  • No one
    Recaps are not sent by email.

This controls automatic emails only - recordings can still be shared manually at any time.

Automatically share recordings (optional)

Use Automatically share recordings to give specific people ongoing access to your meeting recordings.

How it works:

  • Add one or more email addresses

  • Those people are automatically invited to all your meeting recordings

  • No need to manually share each time

This is useful for:

  • Managers

  • Assistants

  • Teammates who need visibility into your calls

Send failure emails (optional)

Turn on Send failure emails if you want to be notified when the Notetaker couldn’t join a meeting.

When enabled:

  • You’ll receive an email if Fyxer fails to join

  • Helpful for troubleshooting missed recordings

You can toggle this on or off at any time.



Save Your Changes

Once you're happy with your setup:

  • Click Update preferences

  • Or click Cancel to discard changes



Good to Know

  • Settings apply going forward - past meetings are unchanged

  • You can update these preferences anytime

  • Nothing is shared automatically unless you enable it
