What to Include in Your Prompt
Think of this as a style guide for your replies. You can specify:
Tone: friendly, concise, formal, casual, etc.
Phrases to avoid: e.g. “Hey,” “Cheers”
Preferred greetings/sign-offs: “Dear Sarah,” “Best wishes”
Voice: industry-specific, brand tone, or professional context
Tips for Writing a Good Prompt
Keep it simple: A few clear rules go further than long lists.
Balance detail and flexibility: Too strict = robotic; too vague = generic.
Refine as you go: Adjust your prompt based on how drafts read in practice.
Need Inspiration? Here Are a Few Example Prompts
“My business works with real estate clients. In email replies, always mention our local market expertise, and include a call to action, like scheduling a consultation or property tour. Use a warm, approachable tone.”
“Always prioritize prompt customer support. My main goal is to resolve customer issues quickly and maintain a friendly, professional tone. If the customer is upset, show empathy and offer solutions. For technical questions, provide concise explanations and offer to schedule a call if needed.”
“I want the AI to prioritize accuracy and clarity in responses. If a question is outside our services, politely decline and refer them to our FAQ. When replying to partners or vendors, emphasize collaboration and long-term relationship building.”
“Base draft replies on my company’s values of transparency and efficiency. When confirming meetings, always include the date, time, and a calendar invite link. For pricing inquiries, explain our value proposition and avoid negotiating on price in the initial reply.”
“I prefer short, actionable emails. Highlight next steps clearly, avoid jargon, and thank the sender for reaching out. If more information is needed, ask direct, specific questions.”
