Why aren’t my emails being categorized correctly?

Fyxer automatically categorizes and files your emails based on your settings. If emails are not appearing in the right labels/folders - or not moving at all - use this guide to diagnose and fix the issue.



Quick Checks

Before adjusting settings, rule out local issues:

  • Clear your browser cache

  • Try an incognito/private window

  • Switch browsers to see if the issue persists

These steps help confirm the problem isn't caused by browser extensions or cached data.



Check Your Categorization Settings

Fyxer only files emails into categories you've selected.

  1. Open your Fyxer Dashboard

  2. Go to Categorization Settings

  3. Ensure the categories you want emails to be filed away (e.g., To Respond, FYI) are checked

Important:

  • Checked - Fyxer files emails into that folder/label

  • Unchecked - Emails stay in the inbox with a label but are not moved

If a category is not selected, Fyxer will not move emails into that folder.



Verify Your Email Connection

Fyxer cannot categorize emails unless your inbox is fully connected.

  1. Go to Settings → Integrations

  2. Check that your email account shows as Connected

If you recently changed your email password:

Reconnect your email integration, then wait 5–10 minutes for Fyxer to re-sync.



Understand Gmail vs. Outlook Filing Differences

Fyxer behaves differently depending on the email platform. This is expected and not a bug.

Gmail:

  • Labels = Folders

  • If you manually add a label, Gmail automatically moves the email into the matching folder

  • Gmail filters may override Fyxer if they move/skip/archive emails first

Outlook:

  • Labels and folders are separate

  • Changing a label does not move the email into the folder

  • You must manually move the email if you relabel it yourself

This is normal Outlook behavior, not a Fyxer issue.



Gmail-Specific Fixes

If categorization seems inconsistent:

Check Gmail filters:

  1. Go to Settings → Filters and Blocked Addresses

  2. Look for filters that:

    • Archive

    • Skip the inbox

    • Apply labels

    • Auto-forward

    • Move messages before Fyxer sees them

Disable or adjust any conflicting rules.

Find missing emails:

Open the All Mail folder. You'll see every message and which labels Fyxer applied.



Outlook-Specific Fixes

  • Use Outlook Web for the most reliable sync

  • If you changed your Outlook password, reconnect the integration

  • Reconnect the integration if permissions look stale or inconsistent

Reconnection fixes most Outlook categorization problems.



Additional Fixes

  • If you see "categorizing emails…" stuck for more than a few minutes, check for duplicate integrations

  • After reconnecting, give Fyxer a few minutes to sync before testing

  • Refresh your inbox or browser after updates
