Fyxer works best when teams share clear expectations about billing, privacy, roles, and ownership - while still letting each person work independently in their own inbox.

This guide covers practical best practices to help teams avoid common setup issues and use Fyxer with confidence.


1. Decide Who Owns Setup and Billing (Early)

Every Fyxer organization has Admins and Members.

Best practice:

  • Assign at least one clear Admin at setup

  • Ensure the Admin understands:

    • How seats are added

    • How billing works

    • How to manage organization settings

Admins control:

  • Team members and roles

  • Billing, seats, and plans

  • Organization-level settings

Members:

  • Use Fyxer for their own inbox, calendar, and meetings

  • Cannot change billing or team-wide settings

This avoids confusion later around charges, permissions, or cancellations.


2. Review the Auto-Add Domain Setting Before Inviting Anyone

By default, Fyxer can automatically add new users who sign up with the same email domain.

Best practice:

  • Review Settings β†’ Organization β†’ Automatically add users with domain as soon as your workspace is created

  • Turn it off if you want to control exactly who joins (and is billed)

This single step prevents most "unexpected seat" issues teams run into.


3. Let Each Team Member Control Their Own Inbox

Fyxer does not create a shared inbox.

Each team member:

  • Connects their own email and calendar

  • Controls their own categorization settings

  • Sees only their own emails, drafts, and meetings by default

Best practice:

  • Align on a simple shared mental model, not shared inboxes

  • Many teams encourage starting the day with To Respond, which surfaces emails that need action

Every email in To Respond automatically receives a draft, helping teammates reply faster without changing how they manage their inbox.


4. Make Roles Visible to Avoid Permission Blockers

Many teams run into issues when:

  • The original Admin leaves the company

  • A Member expects to manage billing or seats

  • No one knows who the Admin is

Best practice:

  • Keep at least one active Admin on the account

  • Periodically review Settings β†’ Team to confirm roles are correct

  • Transfer Admin access before offboarding employees

This prevents lockouts and support delays later.


5. Remember: Privacy Is the Default

Fyxer is designed around individual privacy first.

  • Emails are never shared between teammates

  • Meeting notes are visible only to the attendee, depending on your settings

  • Drafts are created per user, in their voice

Even on team plans, Fyxer does not read or learn from other people's inboxes.
