Fyxer manages your email signature directly from the Dashboard, giving you one central place to control how your signature appears across all your drafts.
It works independently from whatever you've set up in Gmail or Outlook, so you'll need to add your signature to the Fyxer Dashboard separately, and come back to update it here whenever anything changes in your email client.
Step 1: prepare your signature
If you’re using Gmail or Outlook Web:
Open your email client settings
Make sure your signature looks correct, including formatting and any images
Important: if your signature includes an image (e.g. a logo or headshot), make sure it's been uploaded using the Upload Image or Insert Picture buttons – not pasted in. Pasted images often break later.
Step 2: copy your signature
Highlight your full signature
Copy it using Cmd+C (Mac) or Ctrl+C (Windows)
Step 3: add to Fyxer
Go to Dashboard → Drafts → Signatures
Paste your copied signature into the Default signature box
Step 4: save and test
Click “Update preferences” to save.
Send yourself a test email and confirm the formatting looks right and images are displaying correctly
Remember: Fyxer doesn't automatically sync with your email client's signature settings. If you update your signature in Gmail or Outlook, you'll need to re-paste it into the Fyxer Dashboard to reflect those changes.
Enabling signatures in all draft replies
To ensure your email signature appears in all Fyxer drafts and replies:
Navigate to Drafts → Signatures → Organization settings
Toggle "Include email signatures in drafts" ON
Save the changes to apply them across all future drafts
Note: you need to be a Super admin to see this setting.
Troubleshooting signature issues in Outlook
Images not displaying
If you're using Outlook Classic (the desktop app), images and logos in your signature will likely break when pasted into Fyxer. This is because images are often stored locally on your computer, which Fyxer can’t access, even if you paste your signature into our Dashboard.
The fix is to build your signature in Outlook Web first, then bring it into Fyxer from there.
Log in to Outlook Web
Go to Settings → Account → Signatures
In the signature editor, use the Insert Picture button to upload your logo or image. Don't paste it, as pasted images will break
Save your signature in Outlook Web
Copy the full signature from Outlook Web and paste it into Dashboard → Drafts → Signatures
Click Update preferences to save
Your signature will now appear correctly in your draft replies, even when you're working in Outlook Classic.
Note: the image must be uploaded via Insert Picture in Outlook Web first – this is the step that prevents it from breaking.
Other formatting issues
Outlook Classic compatibility issues might also cause extra spaces to appear. If you're affected, switch to a supported client like Outlook on the Web or the New Outlook app for better results.
Multiple signatures
If you're on a Pro plan and have more than one inbox connected, you'll be able to add additional signatures for each one.
Go to Dashboard → Drafts → Signatures → Account-specific signatures
Follow the same steps as above to add multiple signatures here
Update your default signature, if needed
Select Update preferences to save your changes
Using a third-party signature tool?
If your organization uses a signature tool like Exclaimer, Letsignit, Signature 365, CodeTwo, or Opensense, sometimes signatures appear in the wrong place or show up twice. These tools append signatures at the server level, which can conflict with Fyxer.
If this happens, you have two options:
Keep using your third-party tool
Turn off "Include email signatures in drafts" in Dashboard → Drafts → Signatures → Organization settings and leave the Fyxer signature field empty (note: you need to be a Super admin to access this setting). Your third-party tool will still add the signature at send time, but it may appear at the bottom of the thread rather than directly below your reply.
Use Fyxer's signature instead (recommended)
Ask your IT team to exclude your account from the third-party tool, then add your signature directly in the Fyxer Dashboard. This gives you correct placement in every draft, but you'll need to manage signature changes in Fyxer manually going forward.

Sent with Fyxer
