How do I add my signature?

To add your email signature in Fyxer, follow these steps.


Step 1: prepare your signature

If you’re using Gmail or Outlook Web:

  • Open your email client settings

  • Make sure your signature looks correct - including formatting and any images

  • Important: If your signature includes an image (e.g. logo or headshot), upload it using the Upload Image or Insert Picture button - don’t paste it in. Pasted images often break later

Step 2: copy your signature

  • Highlight your full signature

  • Copy it using Cmd+C (Mac) or Ctrl+C (Windows)

Step 3: add to Fyxer

  1. Log in to your Dashboard

  2. Go to Drafts → Signatures

  3. Paste your copied signature into the default signature box

Step 4: save and test

  • Click “Update preferences” to save.

  • Send yourself a test email and confirm the formatting looks right and images are displaying correctly


Enabling signatures in all draft replies

To ensure your email signature appears in all Fyxer drafts and replies:

  1. Navigate to DraftsSignaturesOrganization settings

  2. Toggle "Include email signatures in drafts" ON

  3. Save the changes to apply them across all future drafts

Note: you need to be a super admin to see this setting.



Outlook users: smart signature detection

To make setup easier, Fyxer auto-detects your signature the first time you connect Outlook:

  • It scans your last 10 sent emails

  • It identifies your typical sign-off and formatting

  • If image links are broken (common in Outlook Desktop), we remove them to avoid display issues

  • Ensure your signature is added and configured in the Fyxer Dashboard. Without configuration, it will not automatically appear in drafts

Note: If anything looks off, you can always update it manually using the troubleshooting steps below.


Troubleshooting signature images in Outlook

Images not displaying

Images are often stored locally on your computer, which Fyxer can’t access - even if you paste your signature into our dashboard. That’s why image links break. Outlook Web is the best option.

Outlook Web (recommended method)

  1. Log in to Outlook Web

  2. Go to Settings (top right) → AccountSignatures

  3. Under “Email Signature,” use Insert Picture to upload your image

  4. Save changes

Formatting issues

If using Outlook Legacy, compatibility issues might cause extra spaces. Switch to a supported client like Outlook on the Web or the New Outlook app for better results. Verify the version of Outlook being used.
