Using Fyxer with Outlook: How folders and categories map in Outlook

Fyxer works with Outlook a little differently than Gmail, because Outlook has two systems for organizing your inbox: folders and categories. Here's how they work and how Fyxer fits in.



Folders vs Categories in Outlook

Folders

  • Emails are physically moved into a folder

  • They can only live in one folder at a time (e.g. Inbox or "1: To Respond")

  • Useful for clearing your inbox and filing things away

Categories

  • Appear as color-coded tags on emails

  • They don't move the email, they just label it

  • One email can have multiple categories and stay in your inbox





How Fyxer uses them

Fyxer scans and categorizes emails in your Inbox and Sent Items only.

  • If another Outlook rule moves an email before Fyxer sees it, we'll skip it - giving you full control.

  • Every email is tagged with a Fyxer category (e.g. "1: To Respond").

  • What happens next depends on your settings in the Fyxer AI DashboardCategorization Settings:

    • Checked box → the email moves into that category's folder

    • Unchecked box → the email stays in your inbox, with the colored label applied

Example: An email tagged "1: To Respond" will:

  • Go into the "1: To Respond" folder if the box is checked

  • Stay in your inbox with a red label if the box is unchecked



Sent email handling

  • When you reply, Fyxer moves the thread (the conversation you replied to) according to your category settings.

  • Your sent email itself stays in Sent Items.

  • This way, you'll see the full conversation both in Sent Items and in the right Fyxer folder.



Make sure Conversation View is turned ON in Outlook

  • Without Conversation View, emails in the same thread won't appear grouped together.

  • This can make Fyxer's categories look inconsistent, since you'll see "split" emails across folders.

  • Turning it on ensures every conversation stays together.



Quick setup

  1. Go to Categorization Settings

  2. For each category, check or uncheck depending on whether you want emails to move or stay in your inbox

  3. Click Update Preferences to save
