Fyxer uses two things to decide when meetings can be booked:
Your availability settings: the times you allow meetings, set in the Fyxer Dashboard
Your connected calendar: your real-time availability
Meetings are only booked when you want them and when you're actually free.
Your calendar must be connected for this to work. Email and calendar are connected separately: Set up Fyxer in 2 minutes.
Availability settings
Your availability settings define when Fyxer can offer meeting times.
Use these settings to:
Set allowed days and hours for meetings
Block focus time, lunch breaks, or specific hours
Fyxer won't suggest meetings outside your availability settings, even if your calendar shows you're free.
How to edit your availability:
Go to the Dashboard β Scheduling β Availability
Scroll down to Weekly hours
Adjust the days and times Fyxer can schedule meetings
Select Update preferences
Calendar availability
Fyxer checks your connected calendar in real time when suggesting meeting times.
To avoid double-bookings, Fyxer follows the same free/busy logic used by Google and Outlook.
Google calendars
Fyxer follows Google calendar's own definition of free/busy. This is mostly the same as the Free/Busy setting on each event, but Google applies some additional rules. Even if an event is marked "Busy," Google, and therefore Fyxer, will treat you as free if:
The event has been canceled
You declined the event
You haven't responded yet and you are an optional attendee
π‘ Tip: If you declined an event or it was canceled, Fyxer will still treat you as free for that time β even if the event still appears in your calendar.
Outlook calendars
Fyxer uses the "Show as" field on each Outlook event to determine your availability:
Show as status | How Fyxer treats you |
Free | β Available |
Working elsewhere | β Available |
Busy | β Unavailable |
Tentative | β Unavailable |
Out of office | β Unavailable |
Outlook automatically updates this field in common situations, for example, if a meeting is canceled or you decline an invite, the "Show as" status will update to "Free". You can also set it manually on any event.
How your calendar and Fyxer settings work together
A meeting time is only offered if:
It falls inside your Fyxer available hours, and
Your connected calendar shows you're available
If either condition isn't met, the time won't be suggested.
Additional calendars
You can add secondary and subscribed to calendars within your availability settings to avoid scheduling conflicts.
Go to the Dashboard β Scheduling β Availability
Select Calendars to check choose Select calendars
Re-authenticate, if asked
Once added, you can select which calendars to check for conflicts
Troubleshoot availability issues
Open the troubleshooting view in the availability section to find out why Fyxer shows you as busy or free when writing drafts and offering times on your scheduling link.
Go to the Dashboard β Scheduling β Availability
Select the Troubleshoot button on the right
This shows a calendar view of all your connected calendars, including secondary ones.
Orange boxes show when Fyxer considers you free both for scheduling drafts and the scheduling link, based on your weekly hours, busy meetings and minimum notice. You can also overlay slots from your scheduling link here.
A troubleshoot button also appears on your personal scheduling link, only visible to you.
