How to set up your Meeting Notetaker

Configure how your Notetaker behaves: set auto-join preferences, transcript language, custom words, and sharing settings.

Use Meeting Settings to choose how the Notetaker behaves, who receives meeting outputs, and how transcripts are generated. This article walks you through the key setup steps.



Open Your Meeting Settings

  1. Go to your Dashboard

  2. Click Meetings in the left menu

  3. Select Settings

You'll see two tabs:

  • General - join preferences, recording, transcript settings, sharing

  • Pre-reads - email summaries sent before meetings



Choose When the Notetaker Joins

In Meeting Settings → Automatically join, choose how you want the Notetaker to behave:

  • All meetings - joins any meeting with a supported link

  • External meetings - joins only meetings that include external attendees

  • Meetings I'm hosting - joins meetings where you are the organizer

  • None - does not join automatically (you can still invite it manually)



Set Your Transcript Language

Choose the language Fyxer should use when generating transcripts. This affects transcription accuracy and summary quality.



Add Custom Words (Optional)

Improve transcription accuracy for team-specific names or terms.

  1. Go to Custom words

  2. Type a word or phrase (e.g., Project X, Acronym ABC)

  3. Click Add

  4. Edit or remove terms anytime




Automatically Share Recordings (Optional)

Let teammates or managers automatically receive recordings and summaries.

  1. Go to Automatically share recordings

  2. Click Add email

  3. Enter the recipient's address

  4. Save

Anyone added will automatically receive access to your meeting outputs.



Choose Who Receives Meeting Recaps

In Send meeting recap to, select one:

  • Myself only - only you get the summary

  • Internal attendees - only people with your organization’s email domain receive the recap

  • Everyone on the calendar invite - all attendees receive the recap

  • No one - recaps are not emailed

This controls who receives summaries by email. You can always manually share meeting recordings from within your recording log.



Turn On Failure Notifications (Optional)

Enable this if you want to know when the Notetaker couldn't attend.

  1. Toggle on/off Send failure emails if we couldn't join the meeting

  2. Save

You'll receive an email if the Notetaker was unable to join.
