Admin Setup Guide: Approving Fyxer AI in Microsoft 365 (Microsoft Entra ID)

Fyxer securely integrates with Microsoft 365 to tidy up inboxes, draft smart replies, and capture meeting notes automatically.

To enable Outlook connections for your team, an admin just needs to grant Fyxer permission in Microsoft Entra ID (formerly Azure AD). This step authorises a secure, organization-wide connection through Microsoft’s verified OAuth process.

Granting Access to Fyxer

Admins can approve Fyxer using one of two methods:

Method 1: Grant Consent During Fyxer Login

This is the quickest way to enable access for all users.

Steps:

  1. Navigate to Fyxer AI and click Continue with Microsoft/Outlook

  2. Sign in using your Microsoft admin account

  3. On the Permissions requested screen, check: Consent on behalf of your organization

  4. Click Accept

This grants consent for all users in your organization immediately - including anyone who previously saw a “Need admin approval” message. After consent is granted, those users simply need to try connecting again. If you miss this option during setup, use Option 2.

Method 2: Grant Consent in Microsoft Entra Portal

Use this method to manage permissions centrally or approve Fyxer retroactively.

Steps:

  1. Go to Microsoft Entra ID → Enterprise apps

  2. Search for Fyxer AI

  3. Go to Security → click Permissions

  4. Click Grant Admin consent for Fyxer AI Ltd button to accept permissions

Once approved, all users can connect Fyxer without individual admin approval.



Optional Configuration

Enable Admin Consent Requests

Allow users to request access if they encounter a "Need admin approval" message.


Steps:

  1. In Microsoft Entra ID, go to Enterprise AppsConsent and permissions

  2. Select Admin Consent Settings

  3. Set Users can request admin consent to apps they are unable to consent to to Yes

  4. Make sure under Reviewer Type you select the Users/Groups/Roles that should be able to review such requests


Once enabled, users can request approval directly from the Microsoft sign-in prompt.

How to review user requests

  1. Go to Microsoft Entra ID → Enterprise Applications → Admin Consent Requests.

  2. You’ll see a list of all access requests submitted by your users.


Adjust Assignment Settings

Note: This step is optional, but recommended for most organizations.

Turning off “Assignment required?” ensures users can connect to Fyxer without you having to manually assign them to the app in Entra. If your organization uses strict app assignment policies, you may prefer to leave this enabled.

To allow all users to connect without individual assignment:

  1. In Enterprise Applications, select Fyxer AI

  2. Go to Manage → Properties

  3. Set Assignment required? to No

This allows all users in your tenant to connect automatically.


Best Practices

  • Review granted permissions regularly under Enterprise Applications → Fyxer AI → Permissions to ensure they match your organization’s security policies.

  • Keep the app visible in your Enterprise Applications list for transparency.

  • If your organization uses Conditional Access, make sure Fyxer AI is allowed as a trusted cloud app. This prevents users from being blocked from signing in due to device/location/access policies that Microsoft enforces before OAuth authentication.
