How to add or remove seats safely

Seats in Fyxer are billed per user. Adding or removing seats changes your billing, so it's important to know how to do this intentionally and safely.


What Counts as Adding a Seat

A seat is added when a new user gains access to your Fyxer organization.

This can happen when:

  • You invite a teammate manually

  • A user joins via auto-add domain

  • An existing user reconnects after being removed

Each active user counts as one seat.


How to Add a Seat Safely (Invite a User)

To intentionally add a teammate:

  1. Open your Fyxer Dashboard

  2. Go to Settings → Team

  3. Click Invite teammates

  4. Enter their email address

  5. Confirm the invite

Once they accept:

  • A new seat is added

  • Billing updates automatically (prorated if mid-cycle)

Tip: Add users one at a time so you can track seat changes clearly.


How to Remove a Seat (Remove a User)

To remove a user and free up a seat:

  1. Open your Fyxer Dashboard

  2. Go to Settings → Team

  3. Find the user you want to remove

  4. Select Remove user

  5. Confirm

What happens next:

  • The user immediately loses access

  • The seat is removed

  • Billing adjusts going forward (or is prorated)

Removed users do not receive further drafts or meeting summaries.


How to Avoid Accidental Seat Increases

The most common cause of unexpected seats is auto-add domain.

To prevent this:

  1. Go to Settings → Organization

  2. Review Automatically add users for this domain

  3. Toggle it OFF if you want manual control

This ensures only users you explicitly invite can join.


What Happens If You Add or Remove Seats Mid-Cycle?

If seats change during a billing period:

  • Fyxer applies proration

  • You're only charged for the time each seat was active

  • Adjustments appear on your next invoice

This can result in partial charges or credits.


Best Practices for Managing Seats

  • Review your Team list regularly

  • Remove inactive users promptly

  • Keep auto-add domain off unless you need it

  • Check Billing after adding or removing users

These steps help keep costs predictable.

"Can I add seats during a trial?"

Yes. Added users still count as seats once billing begins.

"Do removed users get refunded?"

Seat removals reduce future charges, but refunds aren't automatic.

"Can users pay for their own seat?"

No. Billing is handled at the organization level.

  • Plan and billing cycle

  • Upcoming charges
