Team scheduling in Fyxer (round robin)

Updated this week

Team Scheduling Links are built for customer-facing teams who want external people to book time with the right teammate - without back-and-forth or manual coordination.

Instead of figuring out:

  • Who's available

  • Who should take the call

  • Who needs to respond

You share one link, and Fyxer assigns the meeting automatically.

What This Is For

Use Round Robin Team Scheduling when you want to:

  • Distribute meetings fairly across a team

  • Let customers book the next available teammate

  • Reduce inbox coordination

  • Handle inbound calls efficiently

Best for:

  • Sales teams handling inbound leads

  • Recruitment teams booking candidate screens

  • Support teams scheduling intake calls

  • Customer research teams running interviews

How Round Robin Mode Works (Default)

Round Robin Mode is enabled by default for all new teams.

When someone books time using your team scheduling link:

  1. Fyxer checks availability across the team

  2. One available teammate is automatically assigned

  3. The meeting is booked instantly

  4. Calendar invites are sent automatically

  5. The Meeting Notetaker joins (if enabled)

No manual assignment required.

Who Can Create and Manage Team Links?

Only Admins can create and manage teams.

Members can request access, but they cannot edit team scheduling behavior.

How to Share a Team Scheduling Link

Team links are accessed from inside the dashboard (not generated automatically elsewhere).

To copy and share a team scheduling link:

Go to your Dashboard β†’ Scheduling β†’ Teams β†’ Select team

  1. Pick a meeting duration

  2. Click Copy link

  3. Share it externally (email, website, CRM, outreach)

External guests can now book directly with your team.

What Happens When Someone Books

Once booked:

  • One teammate is assigned automatically

  • The meeting appears on their calendar

  • The guest receives the calendar invite

  • Your team avoids inbox back-and-forth

Team Scheduling vs Personal Scheduling

Personal Scheduling

Team Scheduling (Round Robin)

One person

Customer-facing team

You manage your own link

Admin-managed team link

Meetings book with you

Meetings assigned automatically

Best for 1:1 calls

Best for inbound distribution

Best Practices

  • Keep teams focused (Sales, Support, Research)

  • Make sure all teammates have calendars connected

  • Use Round Robin for external booking flows

  • Use personal links for individual scheduling
