Control your meetings: How the Meeting Notetaker works

The Fyxer AI Meeting Notetaker makes it easy to stay organized by automatically joining your meetings, capturing key points, and sending you a polished summary afterward. You remain fully in control of when it joins and what it shares.


What the Notetaker Does

Once enabled, the Fyxer Notetaker joins your online meetings (Zoom, Teams, or Google Meet) to:

  • Record and transcribe the conversation in real time

  • Summarize the meeting into key sections and actions

  • Generate follow-up drafts and context for future meetings



When the Notetaker Joins

By default, the Notetaker joins any meeting you’re attending that includes a valid video link.


You can adjust this behavior in your Meeting Settings.

It can be set to:

  • All meetings – Joins every meeting with a valid link

  • Only meetings you host – Ideal if you want control over guest sessions

  • External meetings only – Focus just on client or cross-company calls

  • None – Disabled entirely (you can still invite it manually when needed)

The Notetaker joins just before the scheduled start time. If someone else hosts the meeting, they may need to admit it from the waiting room.



Manually Control Which Meetings It Joins

If you want more granular control, you can toggle the Notetaker on or off for individual events:

  • Go to Dashboard → Meetings → Upcoming

  • Find the meeting you’d like to adjust

  • Switch the Notetaker on or off


Where to Find Your Notes and Recordings

After your meeting, you’ll find everything in one place:
Dashboard → Meetings → Recordings

From there, you can:

  • Replay the call

  • Review or download the transcript

  • Edit and regenerate the summary

  • Copy notes or export them to a PDF

If more than one Fyxer user attends the same meeting, Notetakers will merge into one shared participant, and each user will receive the summary in their own workspace.


Auto-Share Meeting Recordings

You can automatically share meeting summaries and recordings with teammates or managers — no manual forwarding needed.

  • Go to Meetings → Settings → Automatically share recordings

  • Add any email addresses that should receive meeting outputs automatically

  • You can set different rules for internal vs. external calls

💡 Tip: This is ideal if your manager always needs visibility, or if your team wants consistent access without extra admin steps.



Admin Controls for Organizations

For enterprise users, organization admins have additional privacy and compliance controls:

  • Retention policy: Automatically delete recordings and summaries after a set time (e.g., 30 days or 1 year)

  • Domain exclusions: Prevent Fyxer from processing emails or meetings from restricted domains

  • Auto-sharing defaults: Manage how summaries are distributed across teams

Admins can configure these under Settings → Organization.
