Team scheduling: round robin (assign automatically)

Automatically distribute inbound bookings across your team – no manual assignment needed.

Updated yesterday

Team scheduling links are built for customer-facing teams who want external people to book time with the right teammate, without the back-and-forth of trying to coordinate manually.

Instead of figuring out who's available you share one link, and Fyxer assigns the meeting automatically.

What it's for

Use round robin team scheduling when you want to:

  • Distribute meetings fairly across a team

  • Let customers book the next available teammate

  • Reduce inbox coordination

  • Handle inbound calls efficiently

Best for:

  • Sales teams handling inbound leads

  • Recruitment teams booking candidate screens

  • Support teams scheduling intake calls

  • Customer research teams running interviews

How to enable round robin mode

Round robin is on by default for all new teams.

To check or change the mode for an existing team, go to Dashboard → Scheduling → Teams, select your team, and click the settings gear.

Toggle "Book with any available team member" on to use round robin mode. Toggle it off if you want people to be able to book multiple or specific team members.

Note: only admins can see and access this setting.

How round robin works

When someone books time using your team scheduling link:

  1. Fyxer checks availability across the team

  2. One available teammate is automatically assigned

  3. The meeting is booked instantly

  4. Calendar invites are sent automatically

  5. Notetaker joins (if enabled)

No manual assignment required.

Who can create and manage team links?

Only admins can create and manage teams.

Members can request access, but they cannot edit team scheduling behavior.

How to share a team scheduling link

Team links are accessed from inside the Dashboard.

To copy and share a team scheduling link:

  1. Go to your Dashboard → Scheduling → Teams → Select team

  2. Pick a meeting duration from the Copy link menu

  3. Share the link externally (e.g. email, website, CRM)

Best practices

  • Keep teams focused (Sales, Support, Research)

  • Make sure all teammates have calendars connected

  • Use round robin for external booking flows

  • Use personal links for individual scheduling
