Admin billing permissions & ownership

Billing in Fyxer is managed at the organization level. This article explains who can access billing settings, what Admins can control, and where to go to manage subscriptions and payments.



Who Can Manage Billing in Fyxer?

Only users with the Admin role can manage billing-related settings.

This includes:

  • Changing plans

  • Managing seats

  • Updating billing cycles

  • Accessing invoices and payment details

Members do not have access to billing or subscription controls.


Admin vs Member: What's the Difference?

Admins can:

  • View and manage the organization's subscription

  • Change plans (Starter ↔ Professional)

  • Switch between monthly and annual billing

  • Add or remove team members (seats)

  • Access invoices and billing history

  • Update payment methods and tax details

Members can:

  • Use Fyxer features based on the plan

  • Connect their inbox and calendar

  • Receive drafts, categorization, and meeting notes

Members cannot see pricing, invoices, or billing settings.


Where Admins Manage Billing

Admins can access all billing controls from:

Fyxer Dashboard → Settings → Billing

From here, Admins can:

  • See the current plan and seat count

  • View the next billing date

  • Open the secure Stripe Billing Portal

  • Download invoices

  • Update payment details



Managing Plans and Billing Cycles (Admin Only)

Admins can:

  • Upgrade or downgrade plans

  • Move between monthly and annual billing

  • Review changes before confirming

Plan or billing cycle changes may result in prorated charges, which are shown before confirmation.

Managing Seats (Admin Only)

Admins manage seats from:

Settings → Team


From there, you can:

  • Invite new users (adds seats)

  • Remove users you no longer need (frees seats)

  • Review who currently has access

Seat changes may affect billing immediately or be prorated.



Updating Payment Details and Invoices

Payment details and invoices are handled securely via Stripe.

To access them:

  1. Go to Settings → Billing

  2. Click Manage subscription

  3. You'll be redirected to the Stripe Billing Portal

From there, you can:

  • Update your payment method

  • View and download invoices

  • Add VAT or tax registration details


Transferring Billing Ownership

If the Admin who manages billing is leaving your organization, make sure:

  • Another trusted user is promoted to Admin

  • Billing ownership is reviewed before access changes

This helps avoid disruptions to billing or plan changes.



Common Questions

Can Members see billing information?

No. Only Admins can access billing settings and invoices.

Can there be more than one Admin?

Yes. Organizations can have multiple Admins.

What if I don't see the Billing section?

You're likely a Member. Ask an Admin to update your role if needed.
